Overview

This Information Security Policy is intended to protect RevitPay's employees, partners and the company from illegal or damaging actions by individuals, either knowingly or unknowingly.

Internet/Intranet/Extranet-related systems, including but not limited to computer equipment, software, operating systems, storage media, network accounts providing electronic mail, web browsing, and file transfers, are the property of RevitPay. These systems are to be used for business purposes in serving the interests of the company, and of our clients and customers in the course of normal operations.

Effective security is a team effort involving the participation and support of every RevitPay employee or contractor who deals with information and/or information systems. It is the responsibility of every team member to read and understand this policy, and to conduct their activities accordingly.

Purpose

The purpose of this policy is to communicate our information security policies and outline the acceptable use and protection of RevitPay's information and assets. These rules are in place to protect customers, employees, and RevitPay. Inappropriate use exposes RevitPay to risks including virus attacks, compromise of network systems and services, and legal and compliance issues.

The RevitPay "Information Security Policy" is comprised of this policy and all RevitPay policies referenced and/or linked within this document.

Scope

This policy applies to the use of information, electronic and computing devices, and network resources to conduct RevitPay business or interact with internal networks and business systems, whether owned or leased by RevitPay, the employee, or a third party.

All employees, contractors, consultants, temporary, and other workers at RevitPay and its subsidiaries are responsible for exercising good judgment regarding appropriate use of information, electronic devices, and network resources in accordance with RevitPay policies and standards, and local laws and regulations.

This policy applies to all RevitPay-controlled company and customer data as well as all equipment, systems, networks and software owned or leased by RevitPay.

Security Incident Reporting

All users are required to report known or suspected security events or incidents, including policy violations and observed security weaknesses. Incidents should be reported immediately or as soon as possible.

Report security incidents immediately by emailing it@revitpay.com. In your email, describe the incident or observation along with any relevant details.

Mobile Device & Endpoint Management

All end-user devices (e.g., mobile phones, tablets, laptops, desktops) must comply with this policy. Employees must use extreme caution when opening email attachments received from unknown senders, which may contain malware.

Any device used for RevitPay work on a regular or daily basis must be enrolled in and managed by both Microsoft (Intune/Entra) and RevitPay's management tools (Tactical RMM and Xcitium). Devices not managed by both may not be used for ongoing company work.

All company-owned devices must be enrolled in Autopilot (Windows) or Apple Business Manager (Apple devices) and in Microsoft Intune for MDM. BYOD devices must also enroll in MDM but are not required in Autopilot or Apple Business Manager.

Device Requirements
  • Devices must be encrypted with a password-protected screensaver or screen lock after 15 minutes of non-use.
  • Devices must be locked whenever left unattended.
  • Report any suspected misuse or theft of a mobile device immediately to RevitPay's IT department.
  • Confidential information must not be stored on mobile devices or USB drives.
  • Any mobile device used to access company email must not be shared with any other person.
  • Upon termination, users agree to return all company-owned devices and delete all company information and accounts from any personal devices.

Remote Access Policy

Laptops and other computer resources used to access the RevitPay network must conform to these security requirements:

  • Endpoint protection and live monitoring via Xcitium and Microsoft Defender must be installed, running, and enforced on all devices.
  • Remote access and device monitoring are managed through Tactical RMM; users must not remove, disable, or interfere with the Tactical RMM agent or its monitoring.
  • Users must not connect to any outside network without a secure, up-to-date software firewall configured on the mobile computer.
  • Users are prohibited from changing or disabling any organizational security controls such as personal firewalls, antivirus/endpoint protection, or monitoring software.
  • Use of remote access software and/or services (e.g., VPN client) is allowable only when provided by the company and configured for multifactor authentication (MFA).
  • Unauthorized remote access technologies may not be used or installed on any RevitPay system.
  • Use a VPN when transmitting confidential information on public Wi-Fi.
  • If accessing resources from a public computer, log out of the session, don't save anything or check "remember me," collect all printed materials, and delete downloaded files.

Acceptable Use Policy

RevitPay proprietary and customer information stored on electronic and computing devices remains the sole property of RevitPay. Employees and contractors must ensure proprietary information is protected in accordance with the Data Management Policy. Use of OneDrive and SharePoint for business file storage is required for users of laptops or company-issued devices.

You have a responsibility to promptly report the theft, loss, or unauthorized disclosure of RevitPay proprietary information. You may access, use, or share RevitPay proprietary information only to the extent it is authorized and necessary to fulfill your assigned job duties.

RevitPay reserves the right to audit networks and systems on a periodic basis to ensure compliance with this policy.

Unacceptable Use — Strictly Prohibited
  1. Violations of intellectual property rights, including installation or distribution of pirated or unlicensed software.
  2. Unauthorized copying of copyrighted material including digitization of photographs, music, or software without an active license.
  3. Accessing data, a server, or an account for any purpose other than conducting RevitPay business, even if you have authorized access.
  4. Exporting software, technical information, or encryption technology in violation of international or regional export control laws.
  5. Introduction of malicious programs into the network or systems (viruses, worms, Trojan horses, email bombs, etc.).
  6. Revealing your account password to others or allowing use of your account by others, including family members.
  7. Using a RevitPay computing asset to procure or transmit material that violates sexual harassment or hostile workplace laws.
  8. Making fraudulent offers of products, items, or services originating from any RevitPay account.
  9. Making statements about warranty, expressly or implied, unless it is part of normal job duties.
  10. Effecting security breaches or disruptions of network communication, including unauthorized data access, network sniffing, packet spoofing, denial of service, or forged routing information.
  11. Port scanning or security scanning without prior notification to the RevitPay engineering team.
  12. Executing any form of network monitoring which will intercept data not intended for the employee's host, unless part of normal job duties.
  13. Circumventing user authentication or security of any host, network, or account.
  14. Introducing honeypots, honeynets, or similar technology on the RevitPay network.
  15. Interfering with or denying service to any user other than the employee's host.
  16. Using any program/script/command with the intent to interfere with or disable a user's session.
  17. Providing information about, or lists of, RevitPay employees, contractors, partners, or customers to parties outside RevitPay without authorization.
Email & Communication — Strictly Prohibited
  1. Sending unsolicited email messages, including junk mail or advertising material to individuals who did not specifically request it.
  2. Any form of harassment via email, telephone, or texting, whether through language, frequency, or size of messages.
  3. Unauthorized use or forging of email header information.
  4. Solicitation of email for any other email address with the intent to harass or collect replies.
  5. Creating or forwarding chain letters, Ponzi schemes, or other pyramid schemes of any type.
  6. Use of unsolicited email originating from RevitPay networks to advertise any service hosted by or connected via RevitPay's network.

Security Awareness & Training

RevitPay is committed to maintaining a security-aware workforce. All employees and contractors are expected to participate in security awareness activities provided by the company.

RevitPay conducts quarterly simulated phishing email campaigns to test and strengthen staff awareness of phishing and social-engineering attacks. Employees who fail a simulation may be assigned additional training. Repeated failures may result in further review under Section 13 (Violations & Enforcement).

Acceptable Use of Artificial Intelligence (AI)

Employees may use company-approved AI tools to assist with their work, subject to the requirements below. AI tools carry unique risks to data confidentiality and system integrity, and must be used with care.

  • AI systems must not be granted autonomous or unattended access to RevitPay files, email, or systems. A person must remain in control of any action an AI tool performs.
  • AI tools may not be connected or integrated with company email or file storage in a way that allows automated action without human review.
  • Confidential, proprietary, or customer data — including cardholder or payment information — must never be entered into or uploaded to public or consumer AI tools.
  • All AI-generated output used for business purposes must be reviewed by a person for accuracy and appropriateness before it is sent, published, or acted upon.
  • Only AI tools and integrations approved by the Director of Information and Technology may be connected to RevitPay systems or used to process company or customer data.

Company Wi-Fi & Wireless Network Use

Use of RevitPay's wireless network is subject to the following requirements:

  • Company Wi-Fi is for authorized, company-managed devices only.
  • Personal and guest devices must use the separate guest network, which is isolated from company systems and internal resources.
  • Wireless networks are secured with WPA2/WPA3 encryption; the network password must not be shared with anyone outside the company.
  • Unauthorized routers, wireless access points, or other network devices may not be connected to the RevitPay network.

Policy Compliance

RevitPay will measure and verify compliance to this policy through various methods, including but not limited to business tool reports, and both internal and external audits.

Exceptions

Requests for an exception to this policy must be submitted to the Director of Information and Technology for approval.

Violations & Enforcement
Any known violations of this policy should be reported to the Director of Information and Technology. Violations can result in immediate withdrawal or suspension of system and network privileges and/or disciplinary action up to and including termination of employment.
